Microsoft Copilot for business: the complete guide

The short answer

Microsoft Copilot is Microsoft's Ai assistant, built into the apps your team already uses: Outlook, Teams, Word, Excel and PowerPoint. You ask it for something in plain English and it drafts, summarises, analyses or finds what you need. Every business on an eligible Microsoft 365 plan already has Copilot Chat at no extra cost. A paid Microsoft Copilot licence adds the version that works with your own emails, files, chats and meetings, inside each app.

The name covers several different things, which is where most of the confusion comes from. This guide brings everything together in one place: the versions, what each one does, what it costs to get started, how to roll it out safely, and how to make sure your team actually uses it.

The versions of Copilot explained

• Copilot Chat: included with eligible Microsoft 365 business plans. It answers questions and drafts content using the web, with enterprise data protection, but it can't see your emails, files or meetings.
• Microsoft Copilot (paid licence): the add-on that works across your mailbox, calendar, Teams chats and documents, so it can summarise a thread, prepare you for a meeting or build a slide deck from a Word document. Microsoft used to call this Microsoft 365 Copilot, and its app now lives at copilot.cloud.microsoft.
• Microsoft Copilot Business: the same assistant packaged for smaller organisations on Microsoft 365 Business plans, for up to 300 users.
• Copilot agents: assistants built for one job, such as an HR policy helper or a service desk triage agent, made with tools like Agent Builder and Copilot Studio.

What Copilot does in each app

Outlook

• Summarises long email threads and pulls out dates, decisions and actions.
• Drafts replies from a few bullet points, and rewrites them in a different tone.

Teams

• Recaps meetings with actions and owners, and catches you up if you join late.
• Answers questions like "who's doing what" from the meeting and chat history.

Word

• Drafts proposals, policies and reports from your notes or existing files.
• Shortens long documents and reshapes messy content into a clear structure.

Excel

• Explains trends, builds formulas and creates pivot tables from a plain English request.
• Cleans up data and applies conditional formatting.

PowerPoint

• Turns a document into a first-draft deck that you then refine.
• Summarises long presentations and suggests a clearer slide order.

Across all of them, Copilot can search your work to find the file, message or decision you need, and it only ever shows people what they already have permission to see.

Is Microsoft Copilot free?

Partly. Copilot Chat is included with eligible Microsoft 365 business plans, so everyone in your business can use it today. The version that works with your own emails, files and meetings inside the apps is a paid licence per person, added to your existing Microsoft 365 subscription. Microsoft changes Copilot prices and plan names regularly, so check current costs before you buy.

Which Ai models does Copilot use?

Copilot runs on large language models from OpenAI, the company behind ChatGPT, and Microsoft has also added Anthropic's Claude models to some Copilot features. The difference from using ChatGPT on its own is that Copilot works inside your Microsoft 365 tenancy, follows your existing permissions and keeps your data within Microsoft's enterprise protections.

Before you roll out Copilot: permissions and data

Copilot doesn't create new access. It makes existing access far easier to discover. If your SharePoint and Teams permissions are loose, an old site shared with everyone or a stale sharing link, Copilot will surface those documents to people who shouldn't see them. Before you switch on paid licences:

• Review who can see what in SharePoint, OneDrive and Teams.
• Label sensitive data so it's handled properly.
• Check your retention settings.
• Start with a small pilot group before rolling out more widely.

Getting real adoption, not just access

Having Copilot and using it are two different things, and this is where most rollouts underdeliver. Usage often spikes after the launch announcement and then falls away. The businesses that get value from Copilot treat it as a proper change, not a one-off demo:

• Find champions who use it daily and can show colleagues real examples from their own work.
• Run short, repeated demonstrations of real tasks rather than a single launch event.
• Start with the quick wins: email summaries, meeting recaps and first drafts.
• Share prompts that work so everyone benefits from what one person discovers.
• Give it a few weeks. The habit takes time to form.

Agents and what comes next

Copilot is moving from an assistant that answers questions to agents that carry out multi-step tasks for you. Copilot Cowork, for example, can chain together research, drafting and formatting work that would once have taken a person an afternoon. Agents are worth adopting deliberately rather than switching on for everyone on day one, because they act with more independence over your data. Get your permissions in order first, then pilot agents with one team and one clear job.

Common challenges

• Oversharing caused by old SharePoint and Teams permissions.
• Low adoption when people aren't shown what to use it for.
• Outputs that need checking, especially figures and anything going to a customer.
• Paying for unused licences. Review usage after a month and move licences to the people who use them most.
