Why Your Business Should Use Microsoft Bookings

If your team still schedules meetings through back-and-forth emails, there's a better way. Microsoft Bookings is a scheduling tool built into Microsoft 365 that lets customers and colleagues book time with you directly—without the email tennis.

What Is Microsoft Bookings?

Microsoft Bookings is an online scheduling tool that gives your business a professional booking page. Customers, clients, or internal teams can see your availability and book appointments directly, with automatic confirmations and reminders sent via email.

It's included in most Microsoft 365 Business and Enterprise plans at no additional cost.

1. Custom Booking Page

Create a branded booking page where clients can select a service, choose a time, and book an appointment. You can customise the page with your logo, colours, and business information.

2. Automatic Email Confirmations and Reminders

Once a booking is made, both parties receive automatic email confirmations. Reminders are sent before the appointment, reducing no-shows.

3. Calendar Integration

Bookings syncs with your Outlook calendar, so your availability is always accurate. If you're already booked, that slot won't be shown to others.

4. Teams Integration

When someone books a virtual appointment, a Microsoft Teams meeting link is automatically included in the confirmation email. No manual setup required.

5. Multi-Staff Support

If you have a team, Bookings can manage availability across multiple staff members. Customers can choose who they'd like to see, or the system can assign the next available person.

6. Buffer Time and Scheduling Rules

Set buffer times between appointments, define minimum lead times, and control how far in advance bookings can be made. This prevents back-to-back meetings and gives your team breathing room.

  5. Share your booking page link via email, your website, or social media.
