Why Use Microsoft Copilot in Chat Over ChatGPT for Work?

If your team is already using Microsoft 365, there’s a strong case for using Copilot Chat instead of ChatGPT for everyday work tasks. Here’s why.

1. Enterprise Data Protection

This is the big one. When you use Copilot Chat through Microsoft 365, your prompts and responses are protected by Microsoft’s enterprise data protection policies. Your data stays within your organisation’s security boundary and is not used to train AI models.

With the free version of ChatGPT, that’s not guaranteed. OpenAI’s data handling policies for free-tier users are less restrictive, which means your business conversations could be used to improve their models unless you opt out.

2. It’s Already Included

Copilot Chat is available at no extra cost to all Microsoft 365 commercial users. There’s nothing to install, no separate login, and no additional subscription. It’s built into Teams, Outlook, and the Microsoft 365 app.

ChatGPT, on the other hand, requires a separate account and—for business-grade features—a paid subscription (ChatGPT Team or Enterprise).

3. Integrated Into Your Workflow

Copilot Chat lives inside the tools your team already uses. You can access it from Teams, Outlook, or the Microsoft 365 app without switching between platforms. That means less context-switching and more productivity.

4. Familiar Admin Controls

IT admins can manage Copilot Chat access through the Microsoft 365 admin centre—the same place they manage everything else. There’s no need to set up and manage a separate AI tool with its own admin console.

5. A Stepping Stone to Full Copilot

If your team finds Copilot Chat useful, upgrading to the full Microsoft 365 Copilot licence unlocks access to your organisation’s data—emails, files, meetings, and more. It’s a natural progression that doesn’t require switching platforms.

The Bottom Line

ChatGPT is a capable tool, but for business use within a Microsoft 365 environment, Copilot Chat offers better security, tighter integration, and zero additional cost. It’s the sensible choice for teams that want AI assistance without the risk.
